This Privacy Policy describes how Integrated Practice Management System ("we", "us") collects, uses, and protects information when you visit our websites, landing pages, and advertising experiences, contact us, or book our services.
Information we collect
- Contact details you give us — such as your name, phone number, and email when you chat with our virtual assistant, submit a form, respond to an advertisement, or book an appointment.
- Payment information — payments are processed by Stripe and Square; we never see or store your full card number.
- Usage and advertising data — cookies and similar technologies (including the Meta Pixel and ad-click identifiers such as gclid/fbclid/UTM tags) that tell us which advertisement or page brought you to us and help us show more relevant ads.
How we use it
- To respond to your inquiries, schedule appointments, and follow up on your interest in our services.
- To process payments you authorize and send you receipts and payment reminders.
- To measure and improve our advertising, including retargeting on platforms like Facebook and Instagram.
- To send appointment and service communications by phone, text, or email — reply STOP any time to end texts.
Health information
Medical and health information you share with our clinical team as a patient is handled separately, under applicable healthcare privacy laws and our Notice of Privacy Practices, available at our offices. Please don't submit medical details through website chat or advertising forms.
Sharing
We do not sell your personal information. We share it only with service providers who help us operate (payment processors, scheduling, communications, and advertising platforms), each bound to their own privacy obligations, and where required by law.
Google Ads data
Our practice-management software connects, through the Google Ads API, only to our own Google Ads account, with our own authorization. Through that connection we:
- read our own campaigns' settings, spend and performance (impressions, clicks, conversions) to report on and manage our advertising;
- create, pause, enable and re-budget our own campaigns, and create the conversion actions they report into;
- tell Google when a click on one of our ads later became an inquiry or a booked visit, identified only by the click identifier Google itself assigned (gclid, gbraid or wbraid), the time, the kind of event and a dollar value we assign to it.
We never send Google your name, phone number, email, or any health information, and we do not use Google Ads data for any purpose other than running our own advertising. We do not sell it, share it with anyone else, or use it to build profiles. Access to the connection is limited to authorized staff and is logged. Our use of information received from Google APIs adheres to the Google API Services User Data Policy. To ask about or end this connection, email support@myipms.app.
Security & retention
Access to systems holding your information is restricted, authenticated, logged, and audited. We keep information only as long as needed for the purposes above or as the law requires.
Your choices
- Text STOP to end automated text messages; use unsubscribe links to end marketing email.
- You can manage cookie and ad preferences in your browser and via Meta ad preferences and Google My Ad Center.
- Contact us to review, correct, or delete contact information we hold about you.
